The company operates in three distinct areas of construction: petroleum contracting and service, general contracting, and electrical. In each area, R.W. Mercer provides a turn-key approach that includes planning, design, construction, and installation as well as service, monitoring, and maintenance.

POSITION:           Administrative Assistant

LOCATION:         Grand Rapids, Michigan

PAY RANGE:      $18 – 21 per hour

An Administrative Assistant at R.W. Mercer provides support to General Contracting, Petroleum, and Electrical Contracting. We are excited to train an organized, driven individual that has prior office experience to take on the administrative tasks necessary to support our team.

JOB SUMMARY:

To support and work with all levels of associates throughout the company as well as outside vendors in efforts to secure successful completion of all department activities. The ideal Administrative Assistant will possess excellent customer service skills, strong communication skills, attention to detail and accuracy, collaboration and teamwork and the ability to manage and complete numerous projects and assignment.

ESSENTIAL FUNCTIONS:

  • Provide clerical support for contracts, invoicing, sales support, work orders, billing, closing of jobs, and other assigned.
  • Answer incoming calls in a congenial manner; provide information as appropriate and initiates correspondence in response for requests for information.
  • Administrative support for all departments within branch office – General Contracting, Petroleum and Electrical.
  • Support/back up other administrative positions as needed

ADDITIONAL RESPONSIBILITIES:

  • Meet department standards regarding job knowledge, quality, efficiency, initiative, teamwork, customer service and overall performance
  • Assist with records and workflow of all departments
  • Prepares correspondence and other documents
  • Report, summarize, track information and data, and follow up as required
  • Prepares analyses of requested information or data, and makes recommendations as appropriate
  • Create and maintain a filing system that facilitates the efficient and timely retrieval of documents
  • Other various clerical duties as assigned

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Verbal and written communication skills and ability to communicate with customers and team members
  • Strong organizational skills
  • Perform well under pressure and meet constant deadlines
  • Willing to help others and collaborate on assigned tasks
  • Self-motivated, self-starter who completes tasks in an efficient and accurate manner.
  • Proficient in Microsoft Word, Excel, Outlook, and other Microsoft-based program

JOB QUALIFICATIONS

  • Must be 18 years old or older
  • High School Diploma, GED, or equivalency
  • 3+ years of administrative experience

  • Physical:  Primary functions require sufficient physical ability and mobility to work in a construction environment; walk, stand, and sit for prolonged periods of time; frequently stoop, bend, kneel, crouch, crawl, climb, reach, and twist; push, pull, lift, and/or carry moderate to heavy amounts of weights; operate assigned equipment and vehicles; and to verbally communicate to exchange information. Digging and working in trenches. Working in confined spaces, from heights, and hot/cold weather conditions.
  • Vision / Hearing:  See in the normal vision range with or without correction. Hear in the normal range with or without correction.
